Job description:

About MAXIM:

MAXIM Environmental and Safety Inc. is a trusted Canadian provider of environmental monitoring and safety equipment. Since 2006, we’ve supported environmental technicians, technologists, and scientists through the sales, rental, and repair of field equipment used for air, soil, noise, and water monitoring. We value technical knowledge, exceptional customer service, and a collaborative, solutions-focused team environment.

Role Overview:

As a Sales and Service Coordinator, you’ll play a key role in supporting our Clients and internal teams by coordinating rental and sales activities, assisting with technical support, and maintaining clear, accurate communication throughout the order process. This position is ideal for someone who enjoys variety, is naturally curious, and can think on their feet in a fast-moving, service-driven business.

Responsibilities:

  • Respond to Client inquiries regarding rentals, purchases, order status, and general equipment questions
  • Prepare and follow up on quotes for instruments, parts, consumables, and accessories
  • Confirm order accuracy, including product type, quantities, pricing, availability, and any specific Client instructions
  • Assist in locating equipment across our inventory and flag any availability or logistics issues
  • Maintain contact with long-term rental Clients and proactively follow up as needed
  • Schedule and coordinate deliveries and pick-ups with attention to lead times and Client timelines
  • Provide basic guidance on equipment usage and help direct Clients to solutions when issues arise
  • Maintain and update Client interactions and order notes within our CRM
  • Support general sales operations, including PO tracking, internal communications, and service intake
  • Contribute to a clean, organized, safety-conscious workspace
  • Collaborate with the broader team to ensure the customer experience is smooth from start to finish
  • Assist with other administrative or departmental tasks as required

What You Bring:

  • Strong interpersonal and communication skills (phone, email, in-person)
  • A basic understanding, or eagerness to learn, of how our environmental equipment is used in the field
  • An analytical mindset with a natural inclination to troubleshoot and problem-solve
  • Comfortable using Microsoft Office (Excel, Outlook, Word)
  • High attention to detail and strong organizational skills
  • Self-motivated, proactive, and able to prioritize independently
  • Flexible and team-oriented, able to adapt and support others in a fast-paced, cross-functional environment
  • Familiarity with CRM software and internal systems (an asset, but not required)
  • A professional, service-focused approach to both external and internal relationships

Qualifications

Required:

  • 1–3 years in a customer service, sales support, or administrative coordination role
  • High school diploma required; post-secondary diploma or degree in a technical, business, or environmental field preferred
  • Basic technical interest or comfort with tools, equipment, or hands-on processes

Preferred:

  • Experience supporting environmental, remediation, or industrial safety projects
  • Familiarity with environmental testing (air, water, soil, noise), ESA or remediation workflows
  • Prior exposure to B2B equipment rental, sales, or technical service environments

Work Environment

  • This is a fully in-office role (remote work not available)
  • Approximately 70% administrative (desk/computer work) and 30% physical or hands-on (order support, equipment coordination)
  • Occasional lifting (up to 45 lbs), reaching, bending, and ladder work required
